What we hold about you, why, who else touches it, and how to make us delete it.
Who is responsible
Suigya Ltd, incorporated in Israel (company number 517403721), registered at 42 HaZohar St, Tel Aviv, Israel, is the controller of what is described here. Questions and requests go to hello@deanmba.com.
What we hold, and why
- Your email address and name — to sign you in and to send you your report. We need these to provide the service you bought. If you sign in with Google, Google shares your basic account details with us, and we keep and use them the same way as your email address.
- Your CV, and a summary of it. What you tell us about your background is kept, whether you upload a file or type it in, in a private store that only the operators who run Dean can read, and every time one of them reads it is logged. It is what the summary of your roles and background was read from, and that summary is what the interviewer is given. We hold it to run your interview; email us and we will delete it.
- The transcript of your interview and the report written from it. These are the service: an interview you cannot read back, and a report written from nothing, would be no product at all.
- An audio recording, only if you agreed to one. Recording is off unless you turn it on before the interview, and it is used to let you play back the moments the report quotes. Your consent is the only reason we hold it, and you can withdraw it by asking us to delete the audio.
- What you bought. Paddle is the Merchant of Record: they handle the sale, the payment, tax compliance and invoicing, and they hold the payment details. We keep the record of the purchase itself, because tax rules require it. We never see a card number.
- Messages you send us, and our replies, so we can answer them and keep track of what was said. Email us and we will delete them.
- Ordinary usage data — the pages you visit, how you move through them, and the errors that occur, so we can tell when something is broken and fix it. We hold this to keep the service working. Where the law asks us to, we ask before analytics runs.
Who can see it
Your interview is yours. A small number of operators can read transcripts — to investigate something that went wrong, or to check that the interviewer and the report are doing their job — and every one of those reads is logged, with who read what and when.
We do not sell your data, and we do not share it with schools, admissions committees, or anyone connected to your application.
Who processes it for us
We use service providers to run parts of the product, on our instructions and for no other purpose. They fall into these kinds, and we change the particular supplier from time to time:
- Payments — a Merchant of Record who handles the sale, the payment, tax and invoicing, and who holds the payment details.
- Hosting and storage — where your account, transcripts, reports, CV and any recording are kept.
- The spoken interview — the call itself, turning what you say into text, and the interviewer’s voice.
- The models: the ones behind the interviewer’s side of the conversation and the written feedback, and the ones that help us answer you when you write to us.
- Email: the messages we send you, and the ones you send us.
- Error reporting and usage analytics — so we find out when something is broken and where people get stuck.
- Advertising measurement — whether someone who saw an advert for dean went on to buy. Only where you have not been asked or have said yes, and these are told that a purchase happened and what it cost, never who made it.
Ask us at hello@deanmba.com if you want to know who the current providers are.
Where it goes
Those providers process data in the European Union and the United States, under their standard contractual terms for transfers. We are in Israel, whose data protection law the European Union recognizes as adequate.
How long
Interviews and reports are kept while your account exists, so you can go back to them. Recordings are kept for the same reason and can be deleted separately — ask, and we will delete the audio while leaving your report intact.
Your rights
Email hello@deanmba.com from the address on your account. You can ask what we hold about you, ask us to correct it, or ask us to delete it — your CV, a recording, an interview, or the whole account. You do not need to give a reason, and we will answer within a month. The one thing we keep is the record of what you bought, because tax rules require it; it holds no part of your interview.
If you think we have got something wrong and we have not put it right, you can complain to Israel’s Privacy Protection Authority. If you live in the European Union or the United Kingdom, you can also complain to the data protection authority where you live.
Cookies
One cookie keeps you signed in, and it is the only one that is there whatever you choose.
If you agree to be remembered — or if you are somewhere the law does not require us to ask — three more things run: our own usage analytics, and the advertising measurement of Google and of Reddit, each of which sets a cookie so that a purchase can be matched to the advert that led to it. Say no and none of them is loaded at all: not switched off after the fact, never loaded. Nothing from your CV or your interview reaches any of them, and we do not use these to follow you around the web or to build a profile of you.
Making the product better
We use interviews, reports and usage data to run, develop, evaluate and improve dean — how often the interviewer asks a good follow-up, whether the quotes in reports are accurate, where sessions go wrong, and how the interviewer and the feedback should work. Most of that work looks at interviews in aggregate rather than at any one person.
We will not publish anything that identifies you, or hold you out as a customer, without asking you first. Quoting you by name, telling your story publicly, or using your interview as a public example needs your say-so. Inside the product and the team, we work with what you give us in order to make it better.
The rest
The terms cover the rest of the relationship, and the refund policy says when money comes back.
